Working Groups at Internet2 Meetings
Although WG meetings are open, proprietary information should not be shared. See the NOTE WELL statement below. The chair may call for restricted participation (but not restricted attendance) at a WG session for the purpose of moving forward. The WG chair also may refuse to give the floor to any individual who is unprepared, covering inappropriate material, or otherwise disrupting the workflow.
Scheduling
To schedule a WG session at an Internet2 meeting, the chair should apply for a timeslot when Internet2 first announces the meeting. Session time is often a scarce resource at meetings. Thus, placing requests early will facilitate schedule coordination for WGs requiring the same set of members and staff.
Instructions for how to submit a request will be available in the meeting announcement. The scheduling request should contain the following:
- WG name
- Amount of time needed
- Rough outline of the proposed agenda
- Number of expected attendees and desired style of room setup
- Related activities and meetings that should not be scheduled for the same time slot(s)
To schedule a WG meeting to take place during another meeting (such as Joint Techs), contact the person in charge of the main meeting.

Online/Email
Email exchanges can often be used in place of in-person or video/voice conference sessions. A published schedule and agenda (published 3 weeks prior to session) can be included with ongoing summarization and consensus polling. Mailing list discussion may be used to consider and resolve issues and make decisions.
