Working Group Roles & Responsibilities: Flywheel
Flywheels(1,2) assist in and help drive important efforts within the Internet2 community. Roles and responsibilities during a working group/project life cycle may vary, but usually include many of the following tasks:
- Attends working group conference calls and meetings to keep discussion moving in a productive way. Repeats points and action items to make sure they are clear to the group, the owner of the action item, and the scribe.
- Ensures that the list of action items (AIs) is sent to the chair/working group according to working group-services guidelines within two (2) business days after the call.
- Ensures that minutes are sent to the chair/working group according to working group-services guidelines within 1 week after the call.
- Tracks action items by making sure the scribe sends them to the chair/working group according to working group-services guidelines in the appropriate timeframe and that the action item owner makes progress on, follows up on, and/or completes the action item when required.
- Offers help with action items, and takes half-baked thoughts to fully baked thoughts/completion.
- Recognizes when additional resources are needed, and works to procure them as needed.
- Ensures the proper document-naming scheme is used for any documents created by the working group.
- Recognizes when closure on an issue or agenda item is needed
- Ensures logistics are addressed (calls scheduled, scribes assigned, materials posted to the website, etc.).
- Manages and maintains the outreach and collaborative tools used to support the operation of the working group, including the website, mailing list(s), and wiki space(s).
- Assists WG chair as needed (drafting agenda, facilitating in chair's absence, collecting/drafting materials for review, etc.).
- Assists new members of the working group to become engaged.
- Keeps the group apprised of related activities in other Internet2 areas, e.g., higher education, federal government, corporations, etc. Keeps Internet2 area director/staff apprised of WG/project activities/issues.
- Uses Internet2 services (financials, human resources, meeting planning, conference calls, scribes, web support, etc.) provided to working groups/projects
- Pursues interested new participants and facilitates their becoming engaged.
